Privacy Policy

This Privacy Policy explains how Deenice LLC, an Arizona limited liability company (“Deenice,” “we,” “us,” or “our”), collects, uses, and shares information through our marketing website at dnbilling.com (the “Site”) and the DeeNice EHR waitlist. If you have questions, contact us using the details at the end of this policy.
This website is not for patient health information
The Site and the waitlist are for clinics and professionals interested in DeeNice EHR. They are not designed to receive protected health information (PHI) or any other patient information. Please don’t include patient names, dates of birth, medical details, or other patient information in the waitlist form or in messages to us. If you do, we will delete it.
Once DeeNice EHR launches, any PHI that clinics store in the DeeNice EHR application will be governed by the business associate agreements (BAAs) we sign with those clinics and by the clinic’s own policies, not by this Privacy Policy.
Information we collect
Information you give us
When you join the waitlist, we collect:
- your name and work email address;
- your clinic name, your role, and the number of providers at your clinic;
- any optional message you choose to include; and
- your consent to receive launch updates, with the date and time you gave it.
If you email us, we receive your email address and whatever you include in your message.
Information collected automatically
- Server logs. Like most websites, our hosting provider automatically records basic technical information when you visit, such as your IP address, browser type, the pages you request, the referring page, and the date and time. These logs are used for security, troubleshooting, and keeping the Site running.
- Waitlist security data. When you submit the waitlist form, we store a one-way, scrambled (hashed) version of your IP address, not the IP address itself, to help prevent spam and abuse.
Cookies
The Site does not set its own cookies, and we do not use analytics, tracking, or advertising cookies or similar technologies. Our hosting provider’s security service may set a strictly necessary cookie when it checks whether a visitor is a person or an automated bot.
How we use information
- to add you to the waitlist and keep track of your place on it;
- to send you launch updates and news about DeeNice EHR, including your invitation to join;
- to contact you or your clinic about DeeNice EHR, answer your questions, and understand whether it fits your practice;
- to protect the Site and the waitlist from spam, fraud, and abuse; and
- to comply with the law and enforce our terms.
Your consent and our legal basis
We send launch updates only to people who check the consent box on the waitlist form. You can withdraw your consent at any time (see “Your choices” below). We process server logs and security data because we have a legitimate interest in keeping the Site secure and working. If you are in a country that requires a legal basis for processing, these are the bases we rely on.
We don’t sell your personal information
We do not sell your personal information, and we do not share it with third parties for their own marketing or for targeted (cross-context behavioral) advertising.
How we share information
We share information only as described here:
- Service providers. Companies that help us run the Site and communicate with you, under contracts that limit how they can use the information. These include our web hosting provider (Hostinger), which hosts the Site and stores waitlist data and server logs, and email service providers we use to send and receive email.
- Legal and safety reasons. When we believe in good faith that disclosure is required by law, subpoena, or court order, or is needed to protect the rights, property, or safety of Deenice, our users, or others.
- Business transfers. If Deenice is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to this policy.
- With your permission. In any other case where you ask us to or agree to it.
How long we keep information
We keep waitlist information for as long as we need it to send launch updates and follow up about DeeNice EHR, or until you ask us to delete it, whichever comes first. If you become a customer, information about your account will be handled under your customer agreement. Server logs are kept by our hosting provider for a limited period under its standard practices. We may keep limited information longer when the law requires it or to resolve disputes.
How we protect information
The Site uses HTTPS encryption. Waitlist data is stored in a private location on our hosting account that is not accessible from the web, access is limited to people who need it, and we store only a hashed version of IP addresses. No method of transmission or storage is completely secure, so we can’t guarantee absolute security, but we work to protect your information.
Your choices
- Unsubscribe. You can stop receiving launch updates at any time by using the unsubscribe link or instructions in any update email, or by emailing us at privacy@dnbilling.com.
- Access, correction, and deletion. You can ask us for a copy of the information we hold about you, or ask us to correct it or delete it (including removing you from the waitlist), by emailing privacy@dnbilling.com. We may need to confirm your identity before acting on a request.
U.S. state privacy rights
Depending on where you live, state privacy laws (for example, in California, Colorado, Connecticut, Virginia, and other states) may give you rights to know what personal information we collect, to access, correct, or delete it, to receive a copy of it, and to opt out of the sale of personal information, targeted advertising, or certain profiling. As stated above, we do not sell personal information or use it for targeted advertising. To exercise any rights that apply to you, email privacy@dnbilling.com. You may use an authorized agent where the law allows. We will respond within the time the law requires, and we will not discriminate against you for exercising your rights. If we deny your request, you may appeal by replying to our response.
Children’s privacy
The Site and the waitlist are intended for healthcare professionals and businesses. They are not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has given us personal information, contact us and we will delete it.
Links to other websites
The Site may link to other websites, such as government resources. We are not responsible for the privacy practices of those websites.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will post the updated version on this page and change the “Last updated” date below. If we make material changes, we will provide additional notice, such as by email to people on the waitlist.
